Paint the Town (“we,” “us,” or “our”) operates the website at paintthetown716.com and the studio at 74 Allen Street, Buffalo, NY 14202. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It also covers information collected on behalf of HeartWorks Foundation, a separately-incorporated 501(c)(3) nonprofit that partners with Paint the Town on artist development programming.

Information We Collect

We only collect information you give us directly, plus a small amount of technical data your browser provides automatically. We do not buy, sell, or rent personal information.

Information you provide

  • Booking and contact forms. When you submit a paint party booking, gallery rental inquiry, HeartWorks application, or contact message, we collect your name, email address, phone number, and any details you choose to include about your event or request.
  • Membership accounts. If you create a member account, we store your username, email, password (encrypted), and any profile details you add.
  • Donations and program applications. When you give to HeartWorks Foundation or apply to a HeartWorks program, you may provide additional information such as your mailing address, donation amount, or background relevant to the program. Donation processing is handled by third-party payment processors (such as Stripe or PayPal) — we never store full payment card numbers on this site.
  • Photos and event media. We may take photographs at paint parties, gallery events, and HeartWorks programs. By attending, you consent to being photographed and to those photos being used in our marketing materials. If you do not want to appear in photos, please let our staff know on arrival.

Information collected automatically

  • Cookies and session data. Our WordPress site uses cookies to keep you signed in, remember your preferences, and protect against spam. You can disable cookies in your browser, but parts of the site (like the member portal) won’t work without them.
  • Analytics. We may use privacy-respecting analytics tools to understand which pages are visited and how visitors find us. These tools collect aggregated, non-identifying information such as page views, referring sites, and approximate location.
  • Server logs. Our hosting provider records standard log data (IP address, browser type, time of visit) for security and performance reasons. Logs are retained for a limited time and are not used to build profiles of individual visitors.

We do not sell your personal information. We share it only in these limited circumstances:

  • Service providers who help us operate the site (hosting, email delivery, payment processing, form submissions) and are contractually required to keep your information confidential.
  • Between Paint the Town and HeartWorks Foundation when relevant to your specific request — for example, a HeartWorks program application will be shared with HeartWorks Foundation staff.
  • Legal compliance when required by valid legal process, or to protect the safety and rights of our visitors, staff, and organization.

How Long We Keep Your Information

We keep information only as long as needed for the purposes described above, or as required by law. Booking inquiries are typically retained for two years for reference and recordkeeping. Member account information is retained while your account is active. Donation records are retained as required for nonprofit tax reporting.

Your Choices and Rights

  • Access and correction. You can request a copy of the personal information we hold about you, or ask us to correct anything inaccurate.
  • Deletion. You can ask us to delete your personal information. We will honor the request unless we are required to keep it for legal, accounting, or safety reasons.
  • Marketing opt-out. Every email update we send includes an unsubscribe link.
  • Photo opt-out. Let our staff know when you arrive at an event if you do not want to be photographed.

Children’s Privacy

We host kids paint parties and youth-friendly programming. We do not knowingly collect personal information from children under 13 through this website. When a parent or guardian books a kids party, we collect the booking information from the adult, not from the child. If you believe a child has provided us with personal information, please contact us and we will delete it.

Security

We take reasonable measures to protect personal information — including encrypted password storage, secure (HTTPS) connections, and limited staff access to records. No website is completely secure, however. If you believe your account or information has been compromised, please contact us immediately.

Third-Party Links

Our site may link to other websites (such as social media profiles or donation processors). We are not responsible for the privacy practices of those sites — please review their policies separately.
